AI ASSISTANCE

Less evening admin.
A clearer start tomorrow.

An AI executive assistant can help sort your inbox, prepare replies and keep track of routine follow-ups. I build the setup around the work you want help with and the tools you already use.

What useful help could look like

See what needs your attention

Summaries of approved messages and documents can help you pick out requests, decisions and approaching deadlines without reading everything from scratch.

Prepare the routine work

Draft everyday replies, meeting notes and documents using your instructions and approved context. Start with work you review before it is sent or used.

Keep commitments in view

Where your systems support it, the assistant can help prepare reminders, meeting briefs and proposed calendar changes. Its responsibilities and approvals are agreed before launch.

Built around your business, with clear boundaries.

We’ll agree on the task, information sources, connected tools and approval requirements. Then I’ll configure and test the proposed workflow, review early results with you and maintain the agreed setup.

Access is limited to what the role needs. During scoping, we’ll review the tools, data handling and any information that should stay outside the system.

Begin with preparation you can review.

A useful first role might be a morning inbox summary and drafts for a few routine replies. You can check what it highlights, whether the draft reflects your instructions and what it leaves for you to decide before giving it more responsibility. For example, an enquiry might need a short acknowledgement and a reminder to follow up once you have checked the job details. The assistant could prepare those steps within an agreed workflow, while you keep control of the quote and any commitment to the customer.

Give it a role, rather than access to everything.

We decide which messages, documents or calendar information the assistant needs for the task. Available connections and account permissions are checked before I confirm the scope. Information unrelated to the role does not need to be included. You can provide writing preferences, examples of suitable replies and rules for what should be brought to your attention. Sensitive correspondence, unclear requests and important decisions can stay with you rather than being treated as routine work.

Keep the system useful as your workload changes.

Early review helps us find what is missing: a type of message it does not recognise, a summary that leaves out a useful detail or a reminder that arrives at the wrong point in the process. I use that feedback to refine the agreed setup. We can measure tasks prepared, follow-ups completed or time spent working through routine admin. Expanding into scheduling or additional systems is a separate decision based on what the initial workflow has shown and what your tools support.

MANAGED AI ASSISTANCE

AI assistance scoped around your business.

Your proposal sets out the assistants, setup, maintenance, integrations and included usage allowance, with a clear monthly price. Any additional usage charges are explained upfront.

You know what’s included

We agree on the tasks, supported connections and usage allowance before starting. I’ll let you know as you approach your allowance.

Any additional integrations are assessed before availability, scope and costs are confirmed. Marketing is priced separately.

A few things you might be wondering

Will it send emails or move appointments on its own?

The starting setup can prepare drafts and proposed changes for review. Any automatic action needs an explicitly agreed role, suitable access and a supported connection.

How much input will you need from me?

You’ll explain the process, provide approved information and access where needed, and review the early setup. That helps make the assistant useful to your business.

What happens if it can’t help?

We agree on a handover or fallback for unfamiliar requests, errors and tasks outside its role. The workflow should make it clear when a person needs to take over.

Can it help if I already have an office assistant?

Yes. A defined role can support the person already managing administration, such as preparing summaries or routine drafts for them to review.

Can it decide which emails matter most?

We can define categories and priorities based on your instructions, then review the results. Important messages and deadlines still need appropriate oversight; the assistant should not become the only check on a critical commitment.

Let’s start with the work taking up your time.

We’ll explore the opportunity, the practical requirements and whether this is a useful fit.
